The San Pedro City Polytechnic College (SPCPC) was established since 2017 at Brgy.

Magsaysay Ave, San Pedro City of Laguna headed by Mayor Cataquiz, for the college student of

San Pedro City. The school has two courses. Bachelor of Science in Information and Technology

and Bachelor of Science in Business Administration with a major in Human Resource

Development and management.

SPCPC has an insufficient number of workers in administration, and it may lead them to

work long hours and they may not notice all the students' attendance and performance because of

the insufficient number of staff. Additionally, the school encounter problems such as lack of

reaction from the instructors and administration, students are having difficulty connecting with

them. Administrators failed to recognize students who were required to be regular or irregular,

students who did not attend class but were still studying, and students who had dropped out.

Lastly, admins could not monitor students entering into different classes without permission.

The Web-Based Student Management System for San Pedro City Polytechnic

College aims to have an official site and system where it is only related and focus on

school’s agenda and information in order to support the school in organizing, controlling

and responding to students' concerns. The system allows administrators, instructors and

students to build their own accounts with their identity number for them to monitor,

communicate, compile, and update their data. The system will minimize the workload of

the admin as this provides features such as enrolment, student records, grades and

schedules, announcements and forums which can also access based on academic year.

CHAPTER 1

INTRODUCTION

PROJECT CONTEXT

This study will allow students and professors to view their information in school. The

web app will be the online school office because students can view their schedule, grades

and submit their concerns. They won’t need to go to the office if they have no classes.

Management is very important in school because it keeps track of the information of every

student and the files of the school. But in the past year, manual management has brought

difficulty to the admins of the school in organizing school files and students' information.

BACKGROUND OF THE STUDY

San Pedro City Polytechnic College was established in year of 2017, the school has two

courses. Bachelor of Science in Information and Technology and Bachelor of Science in

Business Administration with a major in Human Resource Development and

management. The College envisions itself to become a pre-eminent leader in tertiary

education not only in the City of San Pedro, but also in our country and internationally,

as well. It is committed to the pursuit of excellence, devoted in preparing students to

become ethical leaders for a diverse and nationally and globally competitive workforce,

and strongly dedicated to enhancing the moral, cultural, social, and economic

developments of the nation .and the vision of the school is to be a provider of a quality

and relevant education. The school consists of two departments, the faculty department

and the admin department, and the rest are the guards and janitors.

The administrator department is made up of people who are in charge of documenting

and gathering information on students and teachers. Due to a lack of personnel, the

administrative staff is straining to keep track of the students' data. Because of a lack of

administrative staff, processing grades, responding to student issues, and keeping track

of students' progress takes a lengthy time Aside from monitoring students, administrative

personnel is also having difficulty due to the fact that there are just a few of them who are

in charge of various responsibilities.

The proponents intend to create a system that will allow not only the administration, but

also professors and students to access. A system that a student can have a complete view

of grades, timetables, and announcements. A system that maintains the data of students

and teachers without requiring significant hours of work. It can also assist the

administrative personnel in keeping track of the students' progress in order to decrease

their workload.

STATEMENT OF THE PROBLEM

General Problem

San Pedro City Polytechnic College has an insufficient number of workers in

administration, and it may lead them to work long hours and they may not notice all the

students' attendance and performance because of the insufficient number of staff.

Specific Problem

● Admins are struggling in monitoring the student’s attendance and performance

● Because of the lack of reaction from the instructors and administration, students

are having difficulty connecting with them.

● Administrators failed to recognize students who were required to be regular or

irregular, students who did not attend class but were still studying, and students

who had dropped out.

● Entering into different classes without permission from the admin because the

admins could not monitor it.

CONCEPTUAL FRAMEWORK

The model shown above was the IPO (Input-Process-Output) model. The words under

each letter presents the included data gathering and the outcome for this study. In (Input)

Sectioning of students manually, insufficient number of admin staff, unmanageable

concerns of students The P (Process) are system that can automatically create an account

for student, admins, and professors, where it can help the students in viewing the schedule

and grades and discuss their concerns with the admin. The O (Output) is to create a Web-

based Student Management System for San Pedro City Polytechnic College.

PURPOSE AND DESCRIPTION

The aim of the school management system is to support the school in organizing,

controlling and responding to students' concerns. Students will no longer need to go to

school to avoid physical contact with other people with the help of school management

systems, as schools and other institutions are currently not allowed to start or run because

of the pandemic of the COVID-19 pandemic; there are many restrictions that are not

allowed to go outside, especially for people under 18 or 16. The school system is managed

by students and administrators, who have their identity number to build their own

accounts. The system provides an enrolment procedure for students and administrators

who are allowed to access, and the schedules for each semester allow the student to

examine their current schedule and also the schedule for enrolling students, as well as the

inquiry and issues area.

PROJECT SOBJECTIVES

General Objectives

Proponents aim to create a system that allows San Pedro City Polytechnic College

(SPCPC), not only students, but also administrators and instructors o to have their own

account that only they have access to, allowing them to monitor, communicate, compile,

and update their data.

Specific objectives

● To announce the current events of the school

● To have an own forum for students, admins, and professors

● To organize the following status of every student who are enrolled in the school

● To minimize the workload of the admins.

● To have an official site and system where it is only related and focus on school’s

agenda and information.

SIGNIFICANCE OF THE STUDY

This study aims to address the before mentioned issues, namely that the San Pedro City

Polytechnic College faced insufficient information in structuring students' topics and the

condition of class sections. The following advantages were cited by the system

application's proponents as advantages gained by users: The administration, students,

instructors, the school, and future researchers all benefit from the system.

The Administrator is the person inside the San Pedro City Polytechnic College who

handles all of the records, monitor, and accepts applications and credentials of the students

and professors. They will benefit from a web-based app that can reduce their workload

and manage it in a short period of time, allowing them to instantly monitor current

sectioning and students' and professors' records.

The student will be able to check their grades and timetables, as well as manage any

issues. They will also be kept up to speed on their sections, grade status, and payments,

as well as be informed about school activities.

The professors will be able to notify and get updated with regards to the students who are

not enrolled anymore and the students who are dropped out.

The Future researchers looking for more information can use this study as a reference to

the system they will create in order to give better recommendations and solutions.

SCOPE AND LIMITATION

Project scope

The study focused on the development of web-based application for managing student

information and transaction to the school. The scope of the system has a different modules

and function for the 3 different users: administrator, student and professor.

Sign in module

User will have to choose to the given selections if they are Administrator, Students or

Professor to sign in.

Students are required to then input their email and password to sign in.

Admin side

Admins are required to choose their academic year then input their email and password

to sign in their account.

In Grades module, posting of grades by admin and viewing of grades by students can be

Admin will have access to post the grades and compile the records of students that will

be given by the professors. But admin will only give permission the student to view their

grades if they already paid the remaining balance of their tuition fees.

Student’s side

balance.

This module will able to access by the admins and the users, using this module, they will

have personal chat box to talk or to send message about their common concerns and also

to update each other that relates in grade, subject, and enrolment concerns.

Student sectioning will allow only the admin to access by checking the status of the

students' enrollment, those students who are transferees, and students who have back

subjects. This module will allow the admin to deactivate the accounts of any student

who has a problem that is given above.

allow the admin to view the list of students who are already enrolled and have registered

LIMITATIONS

The San Pedro City Polytechnic College Web-Based Student Management System is a

system provided for the school administrator, professors, and the students and has the

following limitations:

● The Web-based management system is a system that can only access by the student,

professors, and administrators of the school.

● The student management system is a Web-based application that is needed an internet

connection for the admin and users to access it.

● The system does not have a feature of processing the payment of student’s fees.

● The Web-based application can be access with the use of computer and mobile

devices.

2.1 Technical Background


2.1.2 Technicality of the project
The proponents had gathered all related research about the project and had brainstormed

about what technologies will be used. As the project is still ongoing, the proponents will

still search for tools and software that can help improve the development of the system.

The Mobile-based Student Management system is a management process where the

students, professors, and admins can check the information they need to access via online

or mobile app without using the traditional process.

2.1.3 Details of the technologies to be used


The proponents will be using a progressive web application which is an application

software delivered through the web, built using common web technologies including

HTML, CSS and JavaScript. It is intended to work on any platform that uses a standards-

compliant browser, including both desktop and mobile devices.

The HyperText Markup Language, or HTML is the standard markup language for

documents designed to be displayed in a web browser. It can be assisted by technologies

such as Cascading Style Sheets and scripting languages such as JavaScript.

Cascading Style Sheets is a style sheet language used for describing the presentation of

a document written in a markup language such as HTML. CSS is a cornerstone technology

of the World Wide Web, alongside HTML and JavaScript.

JavaScript is a scripting or programming language that allows you to implement complex

features on web pages — every time a web page does more than just sit there and display

static information for you to look at — displaying timely content updates, interactive

maps, animated 2D/3D graphics, scrolling video jukeboxes, etc.

MySQL is a relational database management system (RDBMS) and is a popular choice

of database for use in web applications.

2.1.4 People ware

Web developer

The programmer who specializes in or works specifically on the development of global

web applications based on the client-server model.

System Designer

Created a detailed design document for the development or integration of a computer

system. System.

Database Administrator

The organizational function's resources working in the areas of information systems and

computer science, they plan, organize, and describe and control data resources.

Other schools are still using manual process. The growing number of clients affects

already the services provided by workers. Client’s records needs to be checked and

updated from time to time now but they are doing this by manual searching and writing.

Transactions are very slow, records errors are greater, miscommunications can happen

anytime, error in computations, mishandling of data, slow production of reports and

performance of employees are not that satisfying. This will result to student’s perception

that the school is of low quality in all aspect of its services. School managers are the head

of the institution. They need to analyze lots of data in order to come up with decision

making. Major success of the school lies on them. Providing them tools that helps them

in their decision making is very essential nowadays. They need decision support systems

to provide a quality service that satisfies clients. Some are no yet familiar how powerful

information technology is. They use computers but not as efficient as the computer can

Provide. They use standalone applications that provide similar result of that of manual

process. Other school managers that tried using SMS verify that their productivity and

performance improves beyond their expectations. A complete SMS provide all their

needed information necessary in their decision making process.

This study is to integrate SMS using a centralized database. The need to use a carefully

analyzed framework must be considered to improve the performance of SMS. This study

will also identify SMS features, build the SMS, identify technology needed and

incorporate it, implement and verify the level of acceptability of the system.

2.2.2 Designing and Implementing e-School Systems: An Information Systems

The system has been improved from time to time as needs and demands grow because of

the rapid increase of the population of the college. The school management information

system uses a Hybrid System that runs two (2) platforms in its operation, one is a java-

based environment for transactional processes and the other is a Local web based system

for real-time queries and information retrieval. The school management system has been

utilized for a variety of reasons, including data management, and the reports it generates

aid in school decision-making for current and future advancements and innovations.

The School Management System has not been hosted online since the school has not

purchased web hosting and a domain name, both of which are necessary for hosting

systems such as the School Management System and the creation of a school webpage.

As a result, the system can only handle transactions on the school's campus; online

admission and enrolling are currently unavailable. The system has been implemented in

the college and has been updated now and then for continuous quality improvement.

Student Integrated Information System is now a facility which universities and colleges

use to manage the records of their students. The convenience of accessing the educational

resources online makes the programs ideal for working professionals and students alike.

With the widespread employment of distance learning education program, even most

conventional colleges and universities are now offering online education. Along with this

program, certificate, associates and bachelor’s degree, master’s degree, and doctoral

degree can be acquired through distance learning education.

The main advantage is to be able to have a place for the students in the appropriate

instructional environment, which is in an online application. Student advising is an

essential component of a successful academic experience. Academic advisors are exposed

to a variety of opportunities, enhancements, problems, and choices as technology becomes

more prevalent in university campuses. Various universities and institutions around the

world use automated advising systems. They are helpful and beneficial for both advisors

and advisees in that they contribute to assisting in making better-informed decisions and

improved services.

There is an outgrowing need for electronic accessories in a world where there is great

necessity speed efficiency and perfection of work. Information factor of efficiency access

to electronic devices and relevant information is usually considered in the setting up of a

relational database for a local network. Intranet that is a private network set up by an

organization or company that reassemble the www (World Wide Web) but which is not

accessible by external users.

The internet has revolutionized the computer and communications world like

nothing before the invention of the telegraph, telephone, radio and computer set. The stage

for this unprecedented integration of capability. The intranet is at once a location based

broadcasting capability, a mechanism for information dissemination, and a medium for

collaboration and interaction between individuals and their computers without regards for

extensive location.

This project is a conceivable effort to ameliorate the pressing need for a more web-centric

environment, although its primary focus is not on website design, yet, it is not inevitable

since the emergence of the internet and its accompanying protocols. Web use has become

stronger in use and so developing web application is a promising way of reaching great

audience. Web use is not limited to the internet but virtually any application that can

interface and communicate its web protocols intranet.

With the proposed design, staff, students and any authorized persons can get all the

available information from the polytechnic internet integrated database. They can get their

syllabus, academic calendar and results, register courses etc.

Furthermore, to brighten or bring out efficient and effective administration of academic

information system like students results, academic calendar, syllabus, register course etc.

It will also help in making the processing of information as well as feedback more faster

and also give focus to institution of higher learning on the facilities obtained in the use of

modern system of communication.

Also, the aim of this project is to give a rough and ready introduction to database and its

integration with http server. Before the specifics and theoretical as we focus on some of

the more generic aspect of this study.

2.3.2 Student Management System – A Survey

Student attendance information is stored in respective educational institutions with

distinct details. The responsibility of the faculty to maintain the record regarding

attendance and internal assessment marks. Maintaining the attendance report by manually

is not systematic, not secure and in addition to that more time is needed to organize the

record and to determine the average attendance of individual student. Also manual internal

assessment record system also not secure, more time is needed to organize it and getting

an average is difficult. So it is significant to have a system and which will overcome the

downsides of traditional system like information arrangement of a student, average

attendance estimation, to enter student internal assessment marks, to generate the average

and also to get the report of student attendance as well as internal assessment progress

The proposed system is going to accumulate the details of student those who are

absent and present attendance details as well as internal assessment marks in electronic

format so that management of attendance and internal assessment becomes comfortable.

The traditional model has rectified with issues which can be resolved in the suggested

model. The limitations in traditional model is if a student who missed his/her name,

meanwhile other student can make some proxy attendance record. Manual attendance

tracking system will require lots of human effort. Faculty has to carry attendance register

every time and there is a chance of data manipulation. Since it is in hardcopy form there

is a chance of data lose missing the register

2.3.3 Student Information Management System

The design and implementation of student information system is to replace the current

paper-based records. College Faculties are able to directly access all aspects of a

student’s academic progress, attendance-details and various activities of students

through a secure, online interface. All data is thoroughly reviewed and validated on the

server before actual record alteration occurs. In addition to a staff user interface, the

system plans for student user interface, allowing users to access information and submit

requests online thus reducing processing time. All data is stored on servers managed by

the college administrator and ensures highest possible level of security. The system

features a logging system to track all Users-access and ensure conformity to data access

guidelines and is expected to increase the efficiency of the college’s record management

thereby decreasing the work hours needed to access and deliver student records to users.

This system provides a simple interface for the maintenance of student information.

Achieving this objective is difficult using a manual system as the information is

scattered, can be redundant and collecting relevant information may be very time

consuming. All these problems are solved using student information management

Northern Bukidnon State College School Management System (NBSCSMS) is an e-

School system that was designed and developed according to the main transactions of the

school including admission, enrollment, and accounting, student information system,

grading and generating reports.

The developed e-school system was functional and lifted the school’s transaction

processes which benefited the authorized faculty and staff of the school based on the

system evaluation result.

2.4.2 Comparisons of the proposed system

Since the NBSCSMS was a web-based application. This study tries to fill the gap

by integrating a school management system into mobile-based which includes features of

Student Information System (SIS) for the benefits of students.

2.4.3 Online Student Information System of Benguet State University (OSIS-BSU),

Philippines

Rochelle Dacuycuy‐Pacio (2013) The OSIS‐BSU would be a new way of record

management and transaction processing that would achieve efficiency on processing

student information. It would be a great help to the administrative personnel, academic

personnel, grantors or stakeholders, parents and students in updating, retrieving and

generating student data.

2.4.4 Comparison of the proposed project

The OSIS‐BSU is integrated to the website of the university which serves as a

portal for the students. The system covers the posting and updating of students’ personal

data sheet, curriculum, grades slip, statement of accounts, and unofficial transcript of

records. It also includes the status of a student whether active or inactive. An inactive

status is further categorized to dropped, stopped, graduated or transferred. Under the

statement of accounts, balance forwarding is also adopted.

mobile web-based student integrated information system that would give students an easy

and speedy access through internet technology and use of mobile phones to a range of

handy and important information about their school activities, program curriculum,

enlistment and grades.

2019) Mobischool is an Android-based School Management System for Shripatrao Patil

High School, Satara that can be viewed through mobile application and website. The

system was user friendly and highly secure that will certainly reduce the work. This can

be accessed by users in the login module: Teacher, Administrator, and Parent.

2.5.2 Comparisons of the Proposed system

Mobischool is an android-based school management system same with the

proposed system but it focused more on teacher and parents. Parents have some rights to

login, enter student details, view notices and view post in forum. On the other hand, the

proposed system is more focused on students in managing information and transactions

to the school.

2.5.3 DEVELOPMENT OF AN ONLINE INTEGRATED STUDENT

MANAGEMENT INFORMATION SYSTEM: CASE

STUDY “UNIVERSITY OF GITWE”

University of GITWE (2019) the implementation of an efficient student information

management system is an effective way to get rid of the traditional student record-keeping

system. Instead of dealing with manual files, the use of booth well-managed database and

a proper front-end design would not only reduce the make the task of the registrar and his

assistants in charge easier but also the operating cost.

This type of customizable automated application used to suit various users’ needs as it

helps a university or any other educational institution to store, manage, and distribute this

information. It electronically stores students’ details, lecturer, administrator, registrar, and

department head .The accuracy is maintained easily as the staff work is computerized and

it is controlled managed and controlled by an administrator. He has to insert, update and

monitor the whole process. He has to ensure the highest possible level of security by

storing data on database servers.

2.5.4 Comparison of the proposed project

The student management system was designed application for the students, administrator,

lecturer, registrar, and department head. It contains student record keeping system to

reduce the work of staff in inserting, updating and monitoring the whole process.

2.5.5 Web Based Student Information Management System

[Link], Geeta R.B., [Link] (2013) while paper records are a traditional

way of managing student data there are several drawbacks to this method. First, to convey

information to the students it should be displayed on the notice board and the student has

to visit the notice board to check that information. It takes a very long time to convey the

information to the student. Paper records are difficult to manage and track. The physical

exertion required to retrieve, alter, and re-file the paper records are all non-value added

activities. This system provides a simple interface for the maintenance of student

information. It can be used by educational institutes or colleges to maintain the records of

students easily. Achieving this objective is difficult using a manual system as the

information is scattered, can be redundant and collecting relevant information may be

very time consuming. All these problems are solved using online student information

management system. The paper focuses on presenting information in an easy and

intelligible manner which provides facilities like online registration and profile creation

of student’s thus reducing paper work and automating the record generation process in an

educational institution.

The web based student information management system was design for maintenance of

student information, and to avoid the redundancy in collecting the relevant information

that can cause time consuming. The system contains online registration, and profile

3.6.1 System Design

Student Management System (SMS) is a management information system used by

educational institutions for the management of student data. Below is the diagram of the

system that will be designed particularly for SPCPC administrators, professors and

students.

3.6.2 Process

The proposed system by the proponents will improve the manual process of managing

students’ information. SPCPC Web-based Student Management System provide easier

integration of administrators, professors and students through the platform. The system

facilitates creation and maintenance of student’s information, enrollment status,

management of academic year, courses and subjects, viewing of grades and

announcements, and discuss concerns in forum.

3.7 DEVELOPMENT AND TESTING

3.7.1 SDLC spiral model

The researchers employed the Spiral model of the Systems Development Life

Cycle in this study, which consists of four major stages that flow from one to the next and

are crucial for developers: Identification, Design, Risk analysis it’s Mitigation And

evaluation, Execution and Testing. The four steps of the SDLC were designed to build on

top of one another by adding effort, repurposing production from previous stages, and

producing results that capitalize on prior work and are immediately traceable to the

preceding stage. Advantages of the spiral model, The spiral model is a systems

development lifecycle (SDLC) method used for risk management that combines the

iterative development process model with elements of the Waterfall model. The spiral

model is used by software engineers and is favored for large, expensive and complicated

projects. The spiral model is perfect for projects that are large and complex in nature as

continuous prototyping and evaluation help in mitigating any risk. Because of its risk

handling ability, the model is best suited for projects which are very critical like software

related to the health domain, space exploration, etc.

This model supports the client feedback and implementation of change requests

(CRs) which is not possible in conventional models like a waterfall. Since customer gets

to see a prototype in each phase, so there are higher chances of customer satisfaction. .

Development leads to operation and maintenance, from concept through design,

execution, testing, installation, and troubleshooting. There are no overlapping or repeated

processes in each phase of development. Additional data is acquired or generated

throughout each stage, then integrated with the inputs to create the stage deliverable.
