EXPORTS PROCEDURES & DOCUMENTATIONS
Procedures:
Introduction:
In order to start Export Business it is obligatory on the part of the exporter to follow certain
procedures prescribed by various authorities namely D.G.R-T. / Customs / RBI etc. The
procedures have been laid down in Foreign Trade Policy & FEMA 1999. The procedures the
cxport deals and it also enables various authorities to control and monitor each transaction.
Due to the liberalization the procedures that was very cumbersome, complicate have been
simplified in the tune with international requirements.
‘The preparation of various documents as per requirements of foreign buyer and various
authorities is an integral part of Export Management. ‘The introduction of documents is to
exercise contiol over goods and foreign exchange and it is being done by various authorities.
hhe documents must be correctly prepared so as to facilitate speedy action from all concerned.
‘The preparation of documents from the clearance of goods from the factory till the realization
of export proceeds.
Before entering the overseas market, it is essential for every exporter to assess the degree of
competition. He should have a clear idea about the competitors, their products, prices, their
marketing techniques, terms of business ete. so as to enable himself to offer his products to
foreign buyers with a bargaining edge in order to capture the market. Once the competition is
assessed, the next exporter should know his position regarding ~
(a) The price, whicli he can offer for his product to the overseas buyer;
(b) The terms of credit , which he can offer;
(Q The packaging, transportation, storage, distribution of publicity literature, visual
publicity, advertisement, gift etc. depending on the products.
Prior to the receipt of an export order / indent from the overseas buyer, the exporter has to
undertake the spade work of collecting information on export, selecting the commodity,
obtaining the particulars of foreign buyers and contacting them, quoting the price, payments
terms, method of payment, obtaining —Importer-Exporter code numbers form Regional
Licensing Authority, getting registered with the concern Export Promotion Council or
Commodity Board and opening an account with a Bank au horized to deal in Foreign
Exchange.
‘The process of export starts as and when the exporter receives an order o indent from a
foreign buyer for shipping of goods. An indent gives all the particulars regarding products
specializations, quality, quantity, size, marks, price, and packing, shipping instructions, the date

Obtaining Information regarding Exports
Export information can be gathered from the Export Promotion Councils, Federation of Indi
Chamber of Commerce and Industries, various Chambers of Commerce and Industries,

I Regulatory Frame work
Both imports and Exports are subject to the regulatory requirements prescribed by the Govt. of
India. Any Exporter or Importer is expected to know the regulations relating to foreign trade
are the following.
1. Foreign Trade Development and Regulation Act.
2. Foreign Exchange management Act.

1) FOREIGN TRADE DEVELOPMENT AND REGULATION ACT.
