 ABSTRACT

The purpose of College Event Management System is to automate the existing manual
system by the help of computerized equipments and full-fledged computer software, fulfilling their
requirements, so that their valuable data /information can be stored for long period with easy
accessing and manipulation of the same. The required software and hardware are easily available and
easy to work with.

The College Event Management System main purpose is to maintain track of information
such as student details, coordinator’s details, registration and payement. It keeps track of information
about the event registration, college event circular, Only the administrator gets access to the project
because it is totally built at the administrative method. The project purpose is to develop software that
will cut down on time spent manually managing Home, registration, and login. It saves the colleges time
and also user friendly

CHAPTER-1

INTRODUCTION

College event management is a System by which college events registration takes place in
website. The College event management project typically involves planning, organizing, and executing
various events within a college or university setting. This overview provides a broad outline of the key
components involved in managing events within a college or university environment. The specific
details and complexity of the project will vary depending on the size and nature of the events being
organized.

The Application of a College event management system is wide range. Any programs or events
organized by college can use this PHP project to registration purpose and maintain systematic record of
it. This project is simple, quick, and precise. There is less disk space needed. MYSQL Server is used as
the backbone by the online food ordering system, eliminating the risk of data loss and ensuring data
security. Students have the option to register for any events by their smartphones. Student can starts by
selecting the events that they want, then go to registration, entering required details, and then decides
whether they want participate in that event . Then, by paying the registration fees by a credit card or
debit card using the app

RATIONALE

There are several good reasons to create an College event management. It mainly time saving,
That is why so many usage and help is happened by this project. it is very convenient to use, if we
attached this project to main college website as a separate event section whenever events organized by
college it will be convenient for students to register and easy for college to organize events.

OBJECTIVE
The objective of a college event management project can vary based on the specific goals and nature of
the events being organized. However, some common objectives of such projects include:

1. Promoting Campus Culture: Enhancing the college's cultural environment by organizing events that
celebrate diversity, creativity, and talent within the student and faculty community.

2. Facilitating Learning and Networking: Providing opportunities for students to learn new skills, gain
practical experience in event planning and management, and network with industry professionals, alumni,
and peers.

3. Building Community Engagement: Engaging students, faculty, staff, alumni etc

NEED OF COLLEGE EVENT MANAGEMENT SYSTEM

Firstly, a college event management project is essential for promoting and nurturing a vibrant campus culture.
Through a well-planned series of events encompassing academic conferences, cultural festivals, sports
tournaments, and more, students get opportunities to showcase their talents, celebrate diversity, and foster a sense
of belonging and pride within the college community.

Secondly, these projects play a pivotal role in enhancing learning experiences. Events like seminars, workshops,
guest lectures, and exhibitions provide platforms for knowledge dissemination, skill development, and networking
with industry experts, thereby complementing academic curricula and preparing students for real-world
challenges.

FUNCTIONALITIES

• As we enter the project interface firstly it shows different events that listed by college organized
like technical events, gamming events on stage events, off stage events etc.

• Online food ordering systems also manage payment information for order details, order confirmation
details, and food items online.

• It keeps track of all the data regarding Coordinatechead, Event registration, payment etc.

• Manage the faculty information

• Displays the event’s information and description to the students. Easy to manage the Events more
effectively.

• It focuses on keeping track of registration and transactions.

• Manage the event information.

• Improvements in editing, adding, and updating records lead to proper resource management of
Events fest starting, closing date.

• Manage some extra daily news in website and provides college event updates in website only.

SYSTEM DESIGN

ARCHITECTURAL DESIGN:

Architecture focuses on looking at a system as a combination of many different

components, and how they interact with each other to produce the desired result. The focus is
on identifying components or subsystems and how they connect. In otherwords, the
focus is on what major components are needed.

USE CASE DIAGRAM :

A use case diagram in the Unified Modelling Language (UML) is a type of

Behavioural diagram defined by and created from a Use-case analysis. Its purpose is
to present a graphical overview of the functionality provided by a system in terms of
actors, their goals (represented as use cases), and any dependencies between those
use cases. The main purpose of a use case diagram is to show what system functions
are performed for which actor. Roles of the actors in the system can be depicted.

TERMS AND USE CASE DIAGRAM:

Use cases: A use case describes a sequence of actions that provide something of
measurable value to an actor and is drawn as a horizontal ellipse.

Actors: An actor is a person, organization, or external system that plays a role in

one or more interactions with the system.

System boundary boxes: A rectangle is drawn around the use cases, called the
system boundary box, to indicate the scope of system. Anything within the box
represents functionality that is in scope and anything outside the box is no.

CONCLUSION

The development of this College Event Management System is great improvement over the manual system which
uses lots of manual work and paper. The computerization of the system speeds up the process.

The College Event Management System is fast, efficient and reliable, Avoids data redundancy and inconsistency.
It contains all the functional features described in objective of the project

Developing a Database Management System (DBMS) for a college event management mini-project offers
numerous benefits and efficiencies. By implementing a well-structured DBMS, such as organizing data related to
event details, participant registrations, vendor contracts, budgets, schedules, and communication logs, the college
can streamline event planning, execution, and post-event analysis.

This DBMS provides a centralized platform for storing and managing all event-related information, ensuring data
accuracy, accessibility, and consistency. It facilitates efficient communication and collaboration among event
organizers, stakeholders, sponsors, vendors, and participants, leading to improved coordination and decision-
making processes.
