Indicating Corrections in Acrobat

Linguistic Corrections
Corrections are implemented by a Desktop Publishing specialist. DTP specialists are NOT linguists.
Consequently, linguistic corrections must be clear, concise, complete and unambiguous.

Using the Correct Acrobat Tools


Use ONLY Adobe’s Acrobat to indicate all corrections; use ONLY the following Acrobat Annotations tools for
linguistic corrections:

 Replace (the selected text needs to be corrected or replaced)

 Strikethrough (the selected text needs to be deleted)

 Insert text at cursor (some text needs to be added)

 Sticky notes (use ONLY to comment on the layout)

Note: There are different ways to access these three tools. Read your Acrobat documentation for more
information.

When the tools are used correctly, you should see these visual indicators.

IMPORTANT: When selecting text using these three tools, be aware of spaces and punctuation marks at the
extremities of the selected text. For example, if you select a comma at the end of text to replace, the comma will
be deleted.

Instructions
1. When typing text to add or replace, type ONLY but EXACTLY the text to add/replace. If a word needs a
minor correction, replace the whole word, not just the few letters that need correcting. The DTP specialist
will copy/paste the text as is.
• When required please DO include accented letters, punctuation marks, and capitalization.

2. If there are many changes in a sentence or paragraph, replace the whole sentence or
paragraph instead.

3. When selecting text to be deleted, select ONLY but EXACTLY the text to delete.
• Never add any explanation in the corresponding pop-up window, even if you delete only a space or
a single punctuation mark.
• Be aware of spaces and punctuation marks before and after the text to delete.
