Communication tools refers to the various methods and technologies


used to facilitate the exchange of information, including email, instant
messaging platforms (like Slack or Microsoft Teams), video conferencing
(Zoom, Google Meet), social media, and project management software.

1. Electronic mail

It is commonly shortened to “email,” is a communication method that


uses electronic devices to deliver messages across computer networks.
"Email" refers to both the delivery system and individual messages that
are sent and received.

Advantages:
 Speed and Efficiency: Emails are delivered quickly, making them a fast
way to communicate.
 Cost-Effective: Sending emails is generally free or very inexpensive,
especially compared to traditional mail.
 Global Reach: Emails can be sent to anyone with an internet
connection, regardless of location.
 Documentation and Record Keeping: Emails create a record of
communication, which can be helpful for future reference.
 Convenience: Emails can be sent and received anytime, anywhere, and
recipients can read them at their convenience.
 Easy to Send to Multiple Recipients: You can easily send the same
email to multiple people at once.
 File Sharing: Emails allow you to easily attach files and documents,
facilitating collaboration and information sharing.

Disadvantages:
 Potential for Misinterpretation: The lack of non-verbal cues and tone
of voice can lead to misunderstandings.
 Information Overload: Emails can accumulate quickly, leading to a
feeling of being overwhelmed and difficulty finding important
information.
 Security Risks: Emails can be vulnerable to hacking, spam, and
phishing scams.
 Lack of Immediate Feedback: You may have to wait for a reply, which
can be a disadvantage in urgent situations.
 Not Suitable for Sensitive or Urgent Matters: Email may not be the
best method for conveying sensitive information or for situations
requiring immediate action.
 Requires Internet Access: Both sender and receiver need internet
access to send and receive emails.

Telephone :
Effective telephone communication involves clear and concise speaking,
active listening, empathy, and maintaining a professional and positive
tone, crucial for building rapport and resolving issues efficiently.

Advantages:
 Instant and Real-Time:
Telephone calls allow for immediate communication, enabling quick
resolution of issues and direct engagement.
 Personal Touch:
Voice communication allows for conveying tone and emotion, fostering
a more personal connection than written communication.
 Efficiency:
Phone calls can be faster and more efficient than emails or other forms
of communication, particularly for complex or urgent matters.
 Accessibility:
Telephones are widely available and easy to use, making them a
convenient communication tool.
 Cost-Effective:
In some cases, telephone calls can be more cost-effective than other
forms of communication, especially for international calls
 Builds Relationships:
Talking over the phone can help build relationships with customers and
colleagues.
Disadvantages:
 Lack of Visual Cues:
You cannot see the person you are talking to, making it difficult to
interpret their nonverbal cues or reactions.
 Interruptions:
Phone calls can be disruptive and interrupt ongoing tasks or
conversations.
 No Record:
There is no easy way to create a record of the conversation, which can
lead to misunderstandings or forgotten details.
 Privacy Concerns:

using speakerphones.

Calls can be dropped, or the quality of the call can be poor due to
network issues or interference.
 Difficulty in Scheduling:

Fax communication:

Fax communication, short for facsimile, is a method of transmitting


scanned documents over a telephone line, allowing for the rapid and
secure exchange of physical copies of documents.

 How it works:
 The sender's fax machine scans the document and converts it into a digital
signal.
 The digital signal is then transmitted over the telephone line to the
recipient's fax machine.
 The recipient's fax machine receives the signal and prints a physical copy
of the document.
 Why it's used:
 Speed and Security: Faxing allows for the quick and secure transmission
of documents, especially those requiring a physical copy or signature.
 Legal Documents: Faxed documents are often considered legal originals
due to the difficulty of altering them after transmission.

 Legacy System: While email and other digital communication methods


are common, faxing remains a viable option for certain industries or
situations where a physical copy is required.

Teleconferencing

It is a communication method that uses telecommunication devices to


connect two or more people in different locations for real-time meetings,
discussions, or collaborations, often using audio or audio-visual
channels.

A traditional conference call where participants can hear each other
through a phone system.
 Video Conferencing:
A more advanced form that allows participants to see and hear each
