Introduction

Microsoft Access is application software of Microsoft office package. Its extension name is dbm. It is used to store
records into a table and filters the particulars record from database/table. It is RDBMS (Relational database
Management System) System to Store record into a table.
It is also used to convert database into forms & report format.

How to Start M-S Access


1) Start = M-S Access 2007
2) Start = All program  M-S Office  M-S Access
3) Start = Run 

1. Blank Database.
2. Data Type.
3. Creating table by design view.
4. Creating table by entering data.
5. Creating query by design view.
6. Form.
7. Report.
8. Filter.
9. Delete querry.
10. Update querry.
11. Cross tab querry.

Blank Database
Blank Database:- This command is used to take a blank database.
 Step:-
 Open M-S Access.
 Now Click on office button.
 Then click on new command.
 Now you find new command daialog box is open.
 Now write a name for your database then click on create button.

Data Type
a.) Text: - When field name contain any text format then it is used.(like – Name , father’s name
,city ,state, address, country etc.)
b.) Number :- When field name contain any number format then it is used.(Like – Age.)
c.) Auto number :- When field name contain any number formate in ascending order or descending
order then it is used.(Like- Roll no, Serial no, ID no. etc)
d.) Memo :- When field name contain any text format as well as number format then it is used.(Like :-
Car no. , Bank a/c no. , Reg no. , Phone no etc.)
e.) Date & Time :- When field name contain any date & time format then it is used.(Like- Date of birth,
Expiry date , manufacturing date , Doj etc.)
f.) Currency: - When field name contain any currency format then it is used.(Like – Salary , DA , TA ,
HRA , PF etc.)
g.) Yes/No :-When field name is contain two option then it is used.(Like- Male/Female, Pass/ Fail ,etc.)
h.) Ole Object:- When field name is contain any graphic format then it is used.(Like- photo , any figure
etc.)

Create Table by Design


Step:-
 Go to create menu and click on design table command.
 Now you find table design dialog box is open.

 Now write all field name of data table with their data type.
 After design all field name press ctrl+s to save this design.
 Now you find save as dialog box is open.
Save as
Desktop

 Write a table name for your table then click on SAVE.


 Now you find another box is open.
 Now you click on button.
 Now you find a table is appear in your database.
 Now open this table and fill 20 records.

Query
Query:- This command is used to filter the data table by given condition.
Step:-
 Go to create menu and click on querry design command.
 Now you find a box is open.
 Now click on add button then click on close button.
Note: Criten  Filter of Name.
Show  Name , Salary , D.O.B , Click.

 Now design all field name in querry format one by one.

Criteria “Rohit”
 After design query format write the name in criteria box of which you want.
 Then click one run button.
Delete Query
Delete Query:- This command is used to delete any particular record from database table.
Step:-
 For delete query , First design the query format
 For this , Go to create menu and click on query design command.
 Now you find query box is open.
 Now choose table name and click on add button.
 Then click on close button.

 Desing all table field in query box one by one.
 Now go to design menu and click on detele table command.
 Now write the name of which you want to delete in criteria box.
 Then click on run button.
 Now you find a dialog box is open.

Update Query
Update Query:- This command is used to update the data table record.
 Step:-
 For update query , First design the query format.
 For , this go to create menu and click on query design command.
 Now you find query box is open.
 Now choose table name and click on add button.
 Then click on close button.
Query / Both / Table

 Now design all table field in query box one by one.


 Now go to design menu and click on update query command.
 Now write the new information in update to box and old information in criteria box.

Form
Form:- This command is used to convert the data table records into form format.
 Step:-
 Go to create menu and click on more form command.
 Now you find some option are appeared.
 Now you click on form wizard option.
 Now you find form wizard box is open.
 Now add that fields of which you want to show on form format.
 Then click on next button.

Report
Report:- This command is used to convert your database table into report format.
 Step:-
 Go to create menu and click on report wizard command.
 Now you find report wizard box is open.
 Now choose your table name and click on double greater button.

 Cross Tab Query


Cross tab query:- This command is used to link two or more than two database table in one query table.
 Step(1):-
 Go to create menu and click on table design command.
 Now you find table command box is open.
 Now write all field name with their data type.
 Now press ctrl + S to save this design.

 Now write a name for your data table.


 Then click on save button.

 Step(2):-
 Go to create menu and click on table design command.
 Now find table design box is open.
 Now write all field name with their data type.

 Now press ctrl + S to save the design.

 Now write a name for your data table.


 Then click on save button.

 Now open both table one by one and fill some records.
 Step(3):-
 Now go to create menu and click on query design command.
 Now you find query design box is open.
 Click add both table find in query format.

 After design the query format , select name field and drag it on another table name field.
 Now write the criteria for filter the data table in criteria box.
 Now go to design menu and click on run button.
