Where I can submit my resignation/ separation request?
To resign from Job, you need to submit a formal resignation on Darwin Portal. Please follow the steps below.
We recommend that employees complete discussion with their reporting manager before submitting
resignation on HRMS. Resignation should be submitted within 5 calendars days from the date of discussion
Step 1 - Login to Darwin Box
Step 2 - Click on your Darwin Box profile image
Step 3 - Scroll down and click on Flows.
Step 4 - Click on Separation
Step 5 - Choose the “Requested last day” & Submit
2. Who will approve my resignation?
Once the resignation is submitted on Darwin, an intimation via HRMS will be sent to your Manager for approval.
Once approved, the resignation request will flow to your HRBP for further approval. Upon HRBP approval, the
HR Operations team will provide their final approval after reviewing the request. Support teams like IT, Admin,
Finance along with HR would provide due clearances after the submission of the company assets.

Can I withdraw my Resignation?
Yes, you can revoke your resignation post discussing with your Manager & HRBP on or before the last working
day.

Is there any notice recovery for non-completion of notice period?
As per our policy, employee should complete 60 days (GG 12 & below grades) and 90 days (GG 13 & above) notice,
if failed to do so, there will be notice recovery from your full & final settlement.

What happens to my Leaves?
Your Privileged Leave will be encashed in your full and final settlement but only up to 42 days. Other leave like
Sick Leave, Casual leave, Personal Milestone leave etc. will lapse. Privilege Leave will be prorated to employees
last working date subjectivity to max cap of 42 days.

What will be the exit process on my LWD?
Employee should connect with IT & Admin team for asset submission. Employee should submit all the company
assets/properties in the office location and need to download all necessary required documents for future
reference.
7. When my Full and Final settlement will be processed?
Full and Final settlement will be process by 10th of following month. Employees exiting between 1 – 30/31 of the
month, will be consolidated and accordingly your full and final settlement will be processed with your salary
credit.
8. How will I get my form 16?
Form 16 will be shared from Ascent “payroll vendor” in the month of June of following financial year to employee’s
personal email id.
9. How do I request an employment verification?

10. Am I eligible for Gratuity?
As per the ‘The Payment of Gratuity Act, 1972’, you should have completed 4 years &182 days in company in a
stretch to be eligible for Gratuity. For more information regarding this, please refer to the Gratuity Policy or
Payroll FAQs.
11. How can I transfer my EPF?
Log in to the EPF Member Portal using your UAN and password. Access the 'Online Services' tab and select 'One
Member – One EPF Account (Transfer Request).' Complete PF Form 13 with the necessary transfer details and
authorize the request using an Aadhar-based OTP.
12. Will I be able to get group health insurance benefit after exit?
Once you exit from the organization, you will no longer be covered under the company's health policy.
13. When I will get my relieving/ experience letter?
You will receive your letter within 7 days after full and final settlement amount credit.
14. How do I return company equipment or assets on LWD?
On the last day you need to submit asset to IT Team in your possession. This may include laptops, Mouse, ID
Card, access card company phones, etc.
15. Can we submit the company assets at different office locations?
Yes, you can submit the company’s assets at different PayU office locations.
16. What is the eligibility of buyback the company assets?
Employee should complete 3 years of tenure in the organization and accordingly take the necessary approvals
from HRBP and IT team for buy back.
17. If I have not completed 3 years in the org, can I still opt for assets buy back option.
No, you are not eligible to avail this option, however, you could request an exception from your HRBP. Pls note,
requesting an exception does not guarantee an approval.
18. Is the Relieving letter and Experience letter same?
Yes, the Relieving and Experience letter are same.
19. Can we get Resignation acceptance letter?
Once the resignation has been accepted by HR ops team, you will get resignation acceptance mail to your official
email id from noreply@[Link] on your last working date.
20. Can we take leave during the Notice period?
During the notice period you cannot avail leaves, however, only in case of any medical urgency and bereavement
situation, leave will be granted which will result in an increase in the length of the notice period.
21. How many PL’s can be encashed in F&F?
You can accumulate upto 42 days of Privilege Leave which will be encashed and processed after pre-requisite
taxes during the full & final settlement. For further information on this, please refer to the Leave Policy on Darwin
Box.
22. On what salary component we will be eligible for PL encashment?
Leave encashment is calculated on your Basic salary.
Example - You have worked in a company for the last two years and have 20 PL Balance. If your Basic salary is
₹10,000 per month. You can encash as per the formula 10000/30*20 = 6668/-

23. Will my relieving letter be on PayU group or the PayU Entity letter head?
Relieving letter will be provided on the respective Entity letter head.
24. Can the notice period will be waived off or could I be released early from my role?
As per the policy, you are required to serve the full length of your notice period.
25. What documents does an employee need to download before the LWD?

26. Can I still refer someone for a job opportunity with PayU once I leave the organisation?
Absolutely! You can still refer someone for a job opportunity with PayU even after you leave the organization.
Your referrals are always valued and appreciated. However, you will not have access to any of our portals to refer
a candidate, however, you can direct the candidate to PayU’s career portal.
27. Can I re-join the organisation once I’ve left? If yes, what is the criteria?
Yes, you can rejoin PayU provided you had a clean record. However, your hiring will be subject to a suitable
vacancy and your eligibility for it.
28. Should I delete the data that is stored on my laptop device while my tenure at PayU?
All data worked on by the employee during their tenure at PayU is the proprietary property of PayU. You should
NOT delete any data stored on the system, mails, drives or any other storage device. If found guilty of doing so,
necessary action will be taken against you.
29. Can I transfer the data/project on my personal email Id?
If any information regarding PayU is found to have been transferred or made available to any unauthorized
person(s), the organization will report the same to the regulatory authorities and initiate legal action. You can
however, transfer your personal data such as mentioned in question 25 above.
30. I have taken Salary Advance for medical emergencies. How would the balance amount be recovered
(Monthly Instalment or Lump sum)?
Salary advances will be deducted as a lump sum amount from your full & final settlement.
31. What if company Laptop got damaged or I have lost my ID & access card?
There will be deduction from your full and final amount for damage & loss.
Charges for Laptop damage will be based on its value & amount of Rs. 500 will be charged for lost ID & Access
card.
32. Could you please clarify the process for recovering the joining bonus, retention bonus, and relocation
expenses?
If you quit the job within one year or as stated in the terms and conditions of your offer letter, then the amount
paid to you as joining bonus, retention bonus or relocation expenses, will be recovered from your full & final
settlement, whichever is applicable.
33. What if I cannot serve the full notice period?
If you do not serve the required notice period, it’s your manager’s & HRBP’s decision to recover or waive off the
un-served notice period.
Ex: If an employee serves 50 days’ notice, then the remaining days may be recovered or waived off by the
Manager/HRBP.
