Not every email needs your attention right away. Some can wait, and others are better handled by someone else. Focus on what truly matters: emails that directly impact your work or goals. Use search tools to find key updates quickly and set aside time to process your inbox so you’re not constantly distracted. If a thread doesn’t need your input immediately, let it sit until you’re ready. Delegate when you can and stay intentional. Prioritize what’s important and let the rest wait until you have the capacity.

To manage overwhelming email chains effectively, prioritize and streamline communication. 1. Use email filters and tags to categorize messages by urgency or topic. 2. Set clear expectations with colleagues, encouraging concise subject lines and action-focused emails. 3. Allocate specific times to check emails, avoiding constant interruptions. 4. For critical messages, request summaries or direct updates through a collaboration tool like Slack or Microsoft Teams. 5 .Utilize search functions to locate key information quickly and create a “priority” folder for essential threads. 6. Encourage team norms for reducing unnecessary replies & escalating urgent matters via calls or meetings, ensuring you stay focused on what truly matters.

I stick to time blocks for email—morning, mid-day, and end of the day. Prioritize the urgent, flag the important, and leave the rest for downtime. Bonus: Unsubscribe ruthlessly to cut the clutter!

Addressing the issue at an individual level may serve as a temporary solution, but it does not eliminate the root cause. Currently, organizations have fostered a habit among their employees of copying an excessive number of people on emails—individuals who are not actually responsible for completing the task at hand. This practice sometimes stems from fear, a desire to avoid accusations of withholding information, or the belief that everyone "needs to be in the loop." It is crucial for communication teams to enable employees to include only the necessary recipients in emails and to distinguish when communication should take place through a meeting, an email, a chat, or a phone call.

I check emails in the morning and evening- checking emails frequently can be time consuming. I also have standard templates of email responses- so that they can be handy while replying to common emails.

Email is the most commonly used channel, and generally overused. I skim my emails twice an hour and put them into my outlook folders, addressing urgent emails and putting the others in the subfolders. At the end of the day or when I have time between meetings, I review all the emails of the day and write the important takeaways in my notebook. This way I still have the email for reference plus the key information. I also try to model email etiquette by not responding to multiple recipient emails unless necessary.

Drowning in email chains? AI can be a game-changer here. Imagine this: instead of manually sorting through endless threads, AI analyzes the entire chain, builds an actionable outline, and flags unresolved issues. It can identify key contributors, highlight recurring concerns, and recommend which items should convert to a meeting or call. This approach not only reduces time spent in your inbox but ensures nothing slips through the cracks. AI transforms email chaos into a streamlined workflow, keeping you focused on solutions, not admin tasks.
