Most people save AI prompts in a way that makes them impossible to find again. They build perfect Notion databases. Categorize by topic. Add tags. And then… never use them. The problem: your brain doesn’t think “Let me search my prompt database.” It thinks: “I need to prepare XY right now.” 👉 My aha-moment after 2 years and 200 saved prompts: Organising by category doesn’t always work. Organizing inside your workflow does. The difference? Keep prompts where you need them. Not where you found them. If you use ChatGPT or Claude regularly, here’s a tip that will save you serious time: Use a text expander. On macOS, I use Typinator (TextExpander works too). For Windows, check out Espanso or AutoHotKey—both are free and open-source. Here’s how I use them: ➡ I save the entire system prompt or structured query as a snippet. ➡ Then I assign it a short trigger like ;agent or ;summarize. ➡ Now I can drop a full prompt into ChatGPT without digging around or copy/pasting from somewhere else. When you don't need a full-fledged project, this can save you a ton of time. I also keep my prompt library in Drafts (macOS) so I can tag, organize, and track changes.
