Charts in Microsoft Excel


Objectives

INTRODUCTION
You know about presenting data and information in the form of numbers.
This is called numeric data. It is also possible to present numeric data and
information in a pictorial form.
A pictorial representation of numeric data is called a chart or graph.
Charts ang graphs are more attractive and appealing than a simple
presentation of data. It is same as the saying ‘A picture is worth a thousand
words’.
COLUMN CHART BAR CHART PIE CHART
There are many advantages of charts and graphs. Some of the advantages
are:-
1. Charts present data and information in an attractive manner.
2. Charts present data and information in a compact manner.
3. Charts are easier to understand and compare.
4. Charts have a long lasting effect on the mind than a simple data
statement.
COMPONENTS OF CHART
The main components of a charts are: Plot Area, Value Axis, Category Axis,
Data Points, Chart Area, Legend.
1. Plot Area:- this is a rectangular area bounded by two axes where the
chart is plotted
2. Data Points:- the bars, lines, slices or the elements that represent the
data value.
3. Chart Area:- This area includes all the objects of the chart.
4. Legend:- This identifies each data series in a unique colour or pattern.
5. Y-Axis/Value Axis;- Vertical axis of chart.
6. X-Axis/Category Axis:- Horizontal axis of the chart.

TYPES OF CHARTS IN MICROSOFT EXCEL
Column Chart
A Column chart shows the data changes over a period of time or illustrates
comparisons among items.
Line Chart
A line chart shows the different trends in data at equal intervals. It shows data in
different styles of lines varying at equal intervals.
Pie Chart
A Pie chart shows one data series in the form of the comparative size of things that
make up the data series to the sum of the items.
Bar Chart
A Bar chart shows comparisons among individual items.
Area Chart
An area chart show the trend of values over time or categories.
Scatter Chart
A Scatter chart shows pairs of values in scatter format.
Other Chart
Other charts include Stock, Surface, Doughnut, Bubble and Radar charts
CREATING CHARTS
The data in rows and columns of a worksheet can be used easily for creating different
kinds of charts in Excel. You can create charts at two different places.
❖ In the current worksheet
❖ As an object in separate worksheet in the current workbook.

There are two ways to create a chart in Microsoft Excel.

Method-1

Excel can figure out an appropriate chart for you on its own.
Select the cells and press the F11 key. Excel automatically creates a chart for you and a
new chart tab appears along with sheet tabs .
This is the shortest and easiest way of creating a chart.
Method-2
To create a chart of your choice, follow the given steps:-

Step-1: Select the cells within the table.

Step-2: click the Insert tab on the Ribbon.

Step-3: Select the type of hart you want from the Charts group.
Here, we are selecting Column chart.

Step-4: Now, select the chart subtype from the drop down list
As the chart gets created, three new tabs appear on the Ribbon: Design tab, Layout tab
and Format tab which display the various chart tools. With the help of the commands in
these tabs, you can do various changes in the chart. Let us learn to edit out chart with
the help of Design tab,
CHANGING THE CHART TYPE
To change the type of a chart currently on your worksheet, follow the given
steps-
Step-1: Click the chart. The Design tab opens displaying the various
Chart Tools.

Step-2: Click change Chart Type form the Type from the Type group.
The Change Chart Type dialog box appears

Step-3: Choose the new chart type and its subtype.

Step-4: Click the OK button. Your Chart gets changed.


CHANGING THE CHART STYLE
 You can change the visual style of your chart.

Step-1: Click the chart. The Design tab opens displaying the various
Chart Tools.

Step-2: Click More button from the Chart Styles group.

Step-3: You see a gallery of different styles. Click the style you like
to apply on your chart.
SPARKLINE CHART
A sparkline chart is tiny chart that gets embedded into a single cell in the worksheet. It
provides the visual representation of selected data. Microsoft Excel has introduced this
feature to show and analyze the trends of data.
To insert sparkline chart , follow the given steps-
Step-1: Select the cells of a single row or multiple rows. For example, B3:D6

Step-2: Click the Insert tab on the Ribbon.

Step-3: Select the type of sparkline chart you want from the Sparklines group.

Step-4: type the range where you want to show the sparkline charts in the location Range box.

Step-4: click OK button


 There are three type of sparkline charts-
1. Line Sparkline chart:- It shows the trends in data at equal intervals.
2. Column Sparkline Chart:- It shows the data changes over a period of time or
illustrates comparisons among items.
3. Win/loss Sparkline Chart:- It shows whether a cell value is positive , negative or
zero.
Changing The Type Of Sparkline Chart:-
To change the type, click the chart and choose the type of sparkline chart and choose
the type of sparkline chart(line, column or win/loss) from the type group of Design tab.

Changing The Style Of Sparkline Chart:-


To change the style, click the chart and then click More button from the Style group of
design tab.
CHANGING THE DATA AND TEXT IN A CHART
Excel chart data and text are linked to the data and text in a worksheet from which the
chart is created. So any changes in the worksheet will automatically update the chart.
DELETING DATA AND TEXT IN A CHART
To delete data form an Excel chart, you have to delete data from the related worksheet.
RESIZING AND MOVING CHART
You can resize and move a chart in Excel. You can adjust a chart by dragging the chart’s
frames called handle
❖ To resize a chart proportionally, drag the corner handle on the chart diagonally.
❖ To move a chart, point anywhere on the chart and drag it in the desired direction.
PRINTING CHART
Step-1: Select the chart and click the File tab

Step-2: select the print option from the Backstage view.

Step-3: click the Print button.

Press Ctrl + P to print a


chart or a worksheet.
