Introduction to software
Software
• The term software refers to a set of instructions that tells the computer what to do. These
instruction sets, also called programs, provide a means for us to interact with and use the
computer.
• Any computer has two basic software: System software and Application software.
1. System software
System software is any software that helps to run the computer and coordinates instructions between
application software and the computer’s hardware devices. System software includes the operating
system and utility programs (programs often in the operating system that help manage system
resources).

Productivity Software
Productivity software includes programs that enable you to perform various tasks generally required in
home, school, and business. This category includes word processing, spreadsheet, presentation,
database, and personal information manager (PIM) programs.
Microsoft Office consists of a word processing program called Word, a spreadsheet program
called Excel, a presentation program called PowerPoint, a database program called Access, and a
PIM called Outlook.

Word Processing Software
• Word processing software was one of the early applications that turned the computer into a
necessity. It offers very powerful features to help write and edit all kinds of documents. Today’s
word processors incorporate graphics, templates, and wizards that allow users to create a wide
range of document types.
• Microsoft Word and Corel’s WordPerfect are popular word processing programs.
Excel work area that enables us to perform calculations and numerical analyses easily. We can
use spreadsheet software to create a budget and to evaluate different scenarios such as planning a
loan payment strategy.
The basic element in a spreadsheet program is the worksheet, whose columns and rows form
boxes called cells and each cells have their own name, the name of cell is written as
A1,A2,b1,c1etc. Excel columns are represented by characters (A,B,C…) called column heeding
and rows are represented by numbers(1,2,3,..) called row heeding. There are several types of
data you can enter into a cell:
• Labels are descriptive text that identifies the components of the worksheet.
• Values are numeric data either entered in directly or as a result of a calculation.
• Formulas are equations that you build yourself.
• Functions are formulas that are preprogrammed into the spreadsheet software.
► The main benefit of spreadsheet software is its ability to recalculate all functions and formulas in
the spreadsheet automatically when assumptions are changed.

Presentation Software
We use presentation software to create presentations for giving lectures to trainees as well as for
conferences/meeting. Basic features include a variety of slide layouts and design templates and
preformatted slide backgrounds that add coordinated colors, fonts, and styles to your slides.
You can also use different animation effects to control how and when text and other objects enter
and exit each slide. Similarly, slide transitions add different effects as you move from one to the next
during the presentation. There are several different formats with which we view our presentation.
The most common for editing is Normal (or Slide) view. Examples of presentation software include
Microsoft PowerPoint and Corel Presentations.
Database Software
Database software is basically a complex electronic filing system. Spreadsheet applications include
many database features and are easy to use for simple database tasks such as sorting, filtering, and
organizing data. However, you need to use a more full-featured database application to manage
larger and more complicated groups of data that contain more than one table or when you need to
group, sort, and retrieve data and to generate reports. Traditional databases are organized into fields,
records, and tables. A field is a data category such as “First Name.” A record is a collection of
related fields. A table groups related records together. Examples of database software include Corel
Paradox , Microsoft Access, Msql, Oracle etc .

wish to connect to, and access to an appropriate network infrastructure; access to third-party
networks may require additional charges
• For instant messaging, voice and videoconferencing, and application sharing, both parties need:

messaging account and network access (some configurations may require download of additional
components)

The system requirements for Windows Vista
This issue of system requirements seems to bug a lot of people. I think that the confusion is
caused by there being so many different versions of Windows Vista, the fact that Microsoft
issues two specifications (one for Vista Capable and one for Vista Ready PCs) and that the
system requirements vary depending on whether you want to run the Aero UI or not.
Here's what Microsoft claim are the minimum spec for a Vista PC (called a Vista Capable PC):
A processor with a minimum speed of 800MHz
Half a gigabyte (512MB) of RAM
A graphics system capable of supporting DirectX 9 (SVGA 800×600)
20GB hard drive (with 15GB free - don't worry though, Vista doesn't take up 15GB, it just needs
that much room to install!)
A DVD-ROM drive

Office 2003 requires a computer Pentium processor with a clock speed of at least 233 megahertz (MHz).
Microsoft recommends a computer with a Pentium III or faster processor.

You can run Office 2003 on the following operating systems:

Memory
Microsoft recommends that your computer have a minimum of 128 MB of RAM. An additional 8 MB of
RAM are required for each Office 2003 program that runs at the same time.
Available Hard Disk Space
Office 2003 requires 400 MB of available hard-disk space. Hard disk requirements vary, depending on
your configuration. Custom installation choices may require more or less hard disk space.
Disk Drives
Office 2003 requires a CD-ROM drive (or compatible DVD-ROM drive) for installation.
Monitor
A Super VGA monitor with at least 800x600 resolution and 256 colors is required.
Pointing Device
A Microsoft Mouse, Microsoft IntelliMouse, or compatible pointing device is required.

Software installation
Software is a collection of an instruction used to perform tasks on the system. So to work on any
computer/machine we need to install both system and application software. Installing software is
fetching a set of instructions on the system. While we install software different files are copied to our
system and the system can work by using the already installed software. All installed software files are
stored on the systems hard disk.

Software updates is a process of modernizing software. That means using up to date software.
• Updates are usually available online for registered software
• Always install patches and service packs when they become available
• Many software publishers require users to type in a validation code to complete the installation
Uninstalling Software
Once we install software we may need to uninstall them from the system. That means removing already
installed programs/software. We can uninstall software if the hard disk of our system becomes full,
some files are corrupted by virus or software is not functioning correctly. Uninstall process can delete
the software’s files from the various folders on your computer’s hard disk.
Note: do not forget to select only the software that you are going to uninstall.
Most software programs require that you first install them on your computer before using them. For
example, if you buy Microsoft Office, you need to install it on your computer before you can run any of
the included programs such as Word or Excel. You can install software from different area such as a CD
or DVD, an external hard drive, or from a networked computer. You can also install a program or
software update from a file downloaded from the Internet.
Installing a software program writes the necessary data for running the program on your hard drive.
Often the installer program will decompress the data included with the installer immediately before
writing the information to your hard drive. Software updates, which are typically downloaded from the
Internet, work the same way. When you run the update, the installer file decompresses the data and then
updates the correct program or operating system.
Office 2003 is undoubtedly the world's best known and most widely used productivity suite. The
suite comes in several editions, from an academic version for noncommercial student and teacher
use to the fully loaded Professional edition. All editions include the core programs:
1. Excel-spreadsheets
2. Outlook-email client and contact management
3. PowerPoint-presentations
4. Word- word processing
Depending on the edition you have, you may also have some or all of these programs:
1. Business Contact Manager-An add on module for Outlook
2. Publisher-Desktop publishing

In today's era of spacious hard drives, if you have the storage real estate to spare, we
recommend the Complete Install option, particularly if you will use the software to produce
work under time constraints. Limited or partial installations of Office can yield speed bumps
to your productivity at the most inopportune moments. You may call up what you would
expect to be a routine feature in Word, for example, and discover that the feature was never
installed in the first place. When that happens, the program will run an installation routine that
calls for the original installation CD to be placed in the original CD drive that was used during
installation. If you don't have the CD handy, it's theoretically easy enough to cancel the
routine and continue work without that feature, but as we all know, theory doesn't always
yield the expected fruit. We've seen Word crash—more than once—when the program tried to
install a requested feature and the original installation CD wasn't available. Though not as
common, we've also seen BSOD (Blue Screen of Death) crashes in these situations. We've
even encountered such crashes when we had the original installation disc, but the computer
had been reconfigured so that the optical drive was assigned a different drive letter than was in
use during the original installation.
7. Reality is that these midstream feature installation routines can be time consuming and
bothersome to the nth degree. If you can spare the 650MB, go with a Complete Install. This
option will install every program, every feature, and every bit of
included content, such as clip art and photos, onto the hard drive
where it's ready for use at any time.
If you don't have the space for a Complete Install, but you still
want to avoid the above scenario, the Custom Install may be the
choice for you. When you select Custom Install and click Next,
the resulting screen will let you tailor the installation of programs,
options, and content exactly to your expected needs. As an
