Introduction to software
Software

• The term software refers to a set of instructions that tells the computer what to do. These
instruction sets, also called programs, provide a means for us to interact with and use the
computer.

• Any computer has two basic software: System software and Application software.

1. System software
System software is any software that helps to run the computer and coordinates instructions between
application software and the computer’s hardware devices. System software includes the operating
system and utility programs (programs often in the operating system that help manage system
resources).

• The operating system (OS) a system software that acts as the master controller for all activities

Productivity Software
Productivity software includes programs that enable you to perform various tasks generally required in
home, school, and business. This category includes word processing, spreadsheet, presentation,
database, and personal information manager (PIM) programs.
 Microsoft Office consists of a word processing program called Word, a spreadsheet program
called Excel, a presentation program called PowerPoint, a database program called Access, and a
PIM called Outlook.

• Word processing software was one of the early applications that turned the computer into a
necessity. It offers very powerful features to help write and edit all kinds of documents. Today’s

Spreadsheet programs

Excel work area that enables us to perform calculations and numerical analyses easily. We can
use spreadsheet software to create a budget and to evaluate different scenarios such as planning a
loan payment strategy.
The basic element in a spreadsheet program is the worksheet, whose columns and rows form
boxes called cells and each cells have their own name, the name of cell is written as
A1,A2,b1,c1etc. Excel columns are represented by characters (A,B,C…) called column heeding
and rows are represented by numbers(1,2,3,..) called row heeding. There are several types of
data you can enter into a cell:
• Labels are descriptive text that identifies the components of the worksheet.
• Values are numeric data either entered in directly or as a result of a calculation.
• Formulas are equations that you build yourself.
• Functions are formulas that are preprogrammed into the spreadsheet software.
► The main benefit of spreadsheet software is its ability to recalculate all functions and formulas in
the spreadsheet automatically when assumptions are changed.

Presentation Software
We use presentation software to create presentations for giving lectures to trainees as well as for
conferences/meeting. Basic features include a variety of slide layouts and design templates and
preformatted slide backgrounds that add coordinated colors, fonts, and styles to your slides.
You can also use different animation effects to control how and when text and other objects enter
and exit each slide. Similarly, slide transitions add different effects as you move from one to the next
during the presentation. There are several different formats with which we view our presentation.
The most common for editing is Normal (or Slide) view. Examples of presentation software include
Microsoft PowerPoint and Corel Presentations.

Database Software
Database software is basically a complex electronic filing system. Spreadsheet applications include
many database features and are easy to use for simple database tasks such as sorting, filtering, and
organizing data. However, you need to use a more full-featured database application to manage
larger and more complicated groups of data that contain more than one table or when you need to
group, sort, and retrieve data and to generate reports. Traditional databases are organized into fields,
records, and tables. A field is a data category such as “First Name.” A record is a collection of
related fields. A table groups related records together. Examples of database software include Corel
Paradox , Microsoft Access, Msql, Oracle etc .

Personal Information Manager Software
Most productivity software suites contain some form of personal information manager (PIM)
software. These programs strive to replace the management tools found on a traditional desk, such
as a calendar, address book, notepad, and to-do list.
Some PIMs contain e-mail management features so that you can not only receive and send e-mail
messages but also organize them into various folders, prioritize them, and coordinate them with
other activities in your calendar.

XP Upgrade
The system requirements for Windows Vista
This issue of system requirements seems to bug a lot of people.  I think that the confusion is
caused by there being so many different versions of Windows Vista, the fact that Microsoft
issues two specifications (one for Vista Capable and one for Vista Ready PCs) and that the
system requirements vary depending on whether you want to run the Aero UI or not.
Here's what Microsoft claim are the minimum spec for a Vista PC (called a Vista Capable PC):
 A processor with a minimum speed of 800MHz
 Half a gigabyte (512MB) of RAM
 A graphics system capable of supporting DirectX 9 (SVGA 800×600)
 20GB hard drive (with 15GB free - don't worry though, Vista doesn't take up 15GB, it just needs
that much room to install!)
 A DVD-ROM drive

For a Windows Vista Ready PC, the requirements go up a bit:


 A processor with a minimum speed of 1GHz (x86 or x64)
 1GB of RAM
 A GPU that supports DirectX 9 and the following:
- WDDM (Windows Vista Display Driver Model) Driver

Recommended system requirements for Windows Vista
To be on the safe side on any PC that you upgrade to Windows Vista has the following system
requirements:
 A processor with a minimum speed of 2.0GHz (dual-core recommended)
 2GB of RAM for x86 (32-bit) systems, 4GB for x64 (64-bit) rigs
 A GPU that supports DirectX 9 and the following:

The following lists the minimum system requirements to run Office 2003:

Investigating and selecting Application program


Microsoft Office 2007 (officially called 2007 Microsoft Office System) is a Windows version of the
Microsoft Office System, Microsoft's productivity suite. Office 2007 contains a number of new features,
the most notable of which is the entirely new graphical user interface called the Fluent User Interface
(initially referred to as the Ribbon User Interface), replacing the menus and toolbars – which have been
the cornerstone of Office since its inception – with a tabbed toolbar, known as the Ribbon. Office 2007
requires Windows XP with Service Pack 2 or higher, Windows Server 2003 with Service Pack 1 or
higher, Windows Vista or Windows 7. Office 2007 is the last version of Microsoft Office available for
Windows XP Professional x64 Edition.
Software license agreement
A software license agreement is a contract between the "licensor" and purchaser of the right to use
software. The license may define ways under which the copy can be used, in addition to the automatic
rights of the buyer including the first sale line doctrine.
Many form contracts are only contained in digital form, and only presented to a user as a click-through
where the user must "accept". As the user may not see the agreement until after he or she has already
purchased the software, these documents may be contracts of adhesion. These documents often call
themselves end-user licensing agreements (EULAs).
Licensing terms can also be enforced by use of a license manager, which controls where and how the
software is able to run.
Software companies often make special agreements with large businesses and government entities that
include support contracts and specially drafted warranties.

Software installation
Software is a collection of an instruction used to perform tasks on the system. So to work on any
computer/machine we need to install both system and application software. Installing software is
fetching a set of instructions on the system. While we install software different files are copied to our
system and the system can work by using the already installed software. All installed software files are
stored on the systems hard disk.
Installation Basics
 Installing software places the files in appropriate folders on your hard disk
 Installing from Distribution Media
 Installing Downloaded Software
 Software publishers regularly update their software
• Add new features
• Fix bugs
• Update security
 Software patches replace part of the software you currently have installed
 Service packs correct problems and address security vulnerabilities, usually in operating
systems
Software Updates
Software updates is a process of modernizing software. That means using up to date software.
• Updates are usually available online for registered software
• Always install patches and service packs when they become available
• Many software publishers require users to type in a validation code to complete the installation
Uninstalling Software
Once we install software we may need to uninstall them from the system. That means removing already
installed programs/software. We can uninstall software if the hard disk of our system becomes full,
some files are corrupted by virus or software is not functioning correctly. Uninstall process can delete
the software’s files from the various folders on your computer’s hard disk.
Note: do not forget to select only the software that you are going to uninstall.
Most software programs require that you first install them on your computer before using them. For
example, if you buy Microsoft Office, you need to install it on your computer before you can run any of
the included programs such as Word or Excel. You can install software from different area such as a CD
or DVD, an external hard drive, or from a networked computer. You can also install a program or
software update from a file downloaded from the Internet.
Installing a software program writes the necessary data for running the program on your hard drive.
Often the installer program will decompress the data included with the installer immediately before
writing the information to your hard drive. Software updates, which are typically downloaded from the
Internet, work the same way. When you run the update, the installer file decompresses the data and then
updates the correct program or operating system.

To install any software we use the following steps:

i. Insert a device that contains the software you want to install.
ii. Click on my computer and open at the left corner click on add/remove
iii. Select the place from where you are going install (CD/floppy or from different area of your
system)
iv. Double click on the folder contains software and double click on the setup icon
Note some software may ask you to insert product key, at this time you need to open a device that
contain software and click on CD key or serial copy and paste all characters you get to appropriate
place
v. Finally the system starts to copy files to hard disk.
OR
i. Insert a device that contains software in to the system
ii. Double click on my computer to open the device
iii. Open device and click on the setup
iv. You may also asked to insert CD key or product key, copy and paste key by using step four of
the first method.
vi. Finally the system starts to copy files to hard disk.
Installing software is usually a simple process. It involves double-clicking an installer icon and then
clicking "I Agree" when the license agreement pops up. You may have to choose what directory on your
hard disk you would like to install the software in, but often the installer will even choose that for you.
Some software can be installed by simply dragging a folder or application program onto your hard drive.
Either way, installing software is a rather simple process and should not be intimidating.
Software upgrading
A software program that provides added enhancements over an earlier version. You may upgrade office
2003 in to office 2007or 2010. We upgrade software if we want to add some enhancement which is not
found on the earlier version.

How To Install Office 2003

Office 2003 is undoubtedly the world's best known and most widely used productivity suite. The
suite comes in several editions, from an academic version for noncommercial student and teacher
use to the fully loaded Professional edition. All editions include the core programs:
1. Excel-spreadsheets
2. Outlook-email client and contact management
3. PowerPoint-presentations
4. Word- word processing
Depending on the edition you have, you may also have some or all of these programs:
1. Business Contact Manager-An add on module for Outlook
2. Publisher-Desktop publishing
3. Access-A robust database creation and management program
Here's a look at what comes with each of the Office 2003 Editions:

Access. No matter the edition, installation is straightforward and
uniform. Follow these steps and you'll be up and running in no time.
1. Shut down all other programs before beginning the Office 2003
installation.
2. Insert the installation CD into your optical drive. If Auto Run is

the internal structure of the files and can be viewed in those files'
properties. Depending on your personal privacy preferences, you
may or may not wish to have this kind of information included in
your Office files. Once you've entered (or not entered) the
information, click Next to proceed.
5. Next up is the EULA (End User License Agreement). This long-
winded document is a contract between you, the user, and

Custom Install—Here's where you'll find maximum configurability. If you have a good idea
of how you'll be using Office and its individual applications, this selection will let you tailor
the installation more tightly to your specific needs.

In today's era of spacious hard drives, if you have the storage real estate to spare, we
recommend the Complete Install option, particularly if you will use the software to produce
work under time constraints. Limited or partial installations of Office can yield speed bumps
to your productivity at the most inopportune moments. You may call up what you would
expect to be a routine feature in Word, for example, and discover that the feature was never
installed in the first place. When that happens, the program will run an installation routine that
calls for the original installation CD to be placed in the original CD drive that was used during
installation. If you don't have the CD handy, it's theoretically easy enough to cancel the
routine and continue work without that feature, but as we all know, theory doesn't always
yield the expected fruit. We've seen Word crash—more than once—when the program tried to
install a requested feature and the original installation CD wasn't available. Though not as
common, we've also seen BSOD (Blue Screen of Death) crashes in these situations. We've
even encountered such crashes when we had the original installation disc, but the computer
had been reconfigured so that the optical drive was assigned a different drive letter than was in
use during the original installation.
7. Reality is that these midstream feature installation routines can be time consuming and
bothersome to the nth degree. If you can spare the 650MB, go with a Complete Install. This
option will install every program, every feature, and every bit of
included content, such as clip art and photos, onto the hard drive
where it's ready for use at any time.

If you don't have the space for a Complete Install, but you still
want to avoid the above scenario, the Custom Install may be the
choice for you. When you select Custom Install and click Next,
the resulting screen will let you tailor the installation of programs,
options, and content exactly to your expected needs. As an
example, if you'll be using primarily Word and Excel for straight Make the check if

Applications checkbox, and click Next.
Now you have complete control over the installation of each program, each option, media
collections, and more. Simply click the arrow beside the element you wish to configure and
make the choice that best suits your needs:
8. Run from My Computer-Installs that particular feature onto the
hard drive for instant access.

will be needed to install your chosen package, as well as the amount of space available on the
target hard drive. If you see something in the Summary that you want to change, simply click
the Back button until you get to the screen that will allow you to
make the change. With the changes in place, work your way back
through the screens until you reach the Summary screen again.
When the screen accurately reflects your desired installation
package, click Install and sit back and wait. Depending on the
installation choices you made and the speed of your computer, the
installation can take anywhere from a few minutes to an hour or
more.
10. Once the routine finishes, you'll be presented with one final
screen. This screen contains two options: You can choose Check The entries within

OPERATION TITLE: Installing or upgrading software


PURPOSE: Understanding how to install office 2007
CONDITION OR SITUATION FOR THE OPERATION: The computer must be with basic software
EQUIPMENT, TOOLS&MATERIALS: Computer with peripheral devices, and electric power supply/UPS/,office
2007 software CD, CD/DVD-ROM drive
PROCEDURE: To install office 2007, follow the following procedure:
Step 1:  Insert the Microsoft Office 2007 Enterprise CD. If the Setup Wizard does not
automatically begin, then click Start > Run > D:\setup.exe
Step 2:  Enter the Product Key from the back of the CD jacket. Note: This is a unique code.
Please keep in a safe place!
               Click Continue.
 

 Step 3:  Check the box "I accept the terms of this agreement" and click the Continue button.

 
Step 4:  Choose an installation option, Upgrade (removes Office 2003) or Customize (keeps
Office 2003 installed and adds Office 2007, allowing you to use them both).
Note:  Outlook 2003 will be uninstalled in either option.  Outlook will be updated and your

user settings and mail will migrate to the new version.
     If you click Upgrade, go on to Step 5.
     If you click Customize, go on to Step 4a.
Step 4a:   Click the radio button for "Keep all previous versions."
