Word Processing

 Word Processing refers to the act of using a computer to create, edit, save and print documents. In order to
perform word processing, specialized software (known as a Word Processor) is needed.
 In addition to typing text, the word processor allows you to add content such as pictures, tables, and charts to
your documents as well as decorative items including borders and clipart.
 These programs allow users to create a wide variety of documents including (but certainly not limited to)
reports, letters, memos, newsletters and brochures.
 Text can be inserted, edited, moved, copied or deleted within your document and the appearance of the text
can be modified in numerous ways.
 Word processors also give you the ability to check your spelling and grammar and many have built in
dictionaries and other tools to assist you in your writing.

Questions:

1. What is the difference between a typewriter and a word processor? Ans: A typewriter is simply a machine,
mechanical or electric, upon which people compose text. A word processor is either a machine or an application
upon which people compose and edit text.
2. Is typewriter considered as word processor? Ans: Before word processing software, we had typewriters, which
were considered the first word processors. The first recognizable typewriter was invented in the late 1800s by
Christopher Latham Sholes. Here's a fun fact: you can trace the lineage of word processors back to these
machines — not computer programs.

Functions of Word Processing

 Composing means that you can type directly into the word processor, just like on a typewriter. One difference
between a typewriter and a word processor is that most word processors have a "wrap-around" feature, which
means that text automatically is placed on the next line if it cannot all fit on the previous line. Therefore, with
a word processor, you do not have to hit the return key at the end of each line unless you want to force a line
break (to start a new line within a paragraph; This lets you jump to the next line, without having to change the
set paragraph formatting or starting a new bullet point)
 Editing is the ability to revise what has already been typed. Editing includes replacing words with other words,
moving text to new locations, inserting and deleting information, and using a spell-check.
 Word processors allow users to save documents. This is not the case with a typewriter. Because text can be
saved, editing does not have to occur immediately.
 They allow users to print their documents. In fact, word processors allow several printing features such as
underlining, boldfacing, italicizing, changing fonts and font sizes, and more.

Question: Are word processors originated from computer programs or typing machines? Here's a fun fact: you can trace
the lineage of word processors back to these machines — not computer programs.

Features:

1. They are stand-alone devices that are dedicated to the function.


2. Their programs are running on general-purpose computers
3. It is easy to use
4. Helps in changing the shape and style of the characters of the paragraphs
5. Basic editing like headers & footers, bullets, numbering is being performed by it.
6. It has a facility for mail merge and preview.

Functions:

1. It helps in Correcting grammar and spelling of sentences


2. It helps in storing and creating typed documents in a new way.
3. It provides the function of Creating the documents with basic editing, saving, and printing of it or same.
4. It helps in Copy the text along with moving deleting and pasting the text within a given document.
5. It helps in Formatting text like bold, underlining, font type, etc.
6. It provides the function of creating and editing the formats of tables.
7. It helps in Inserting the various elements from some other types of software.

Advantages:

1. It benefits the environment by helping in reducing the amount of paperwork.


2. The cost of paper and postage waste is being reduced.
3. It is used to manipulate the document text like a report
4. It provides various tools like copying, deleting and formatting, etc.
5. It helps in recognizing the user interface feature (is the point of human-computer interaction and
communication in a device. This can include display screens, keyboards, a mouse and the appearance of a
desktop. It is also the way through which a user interacts with an application or a website)
6. It applies the basic design to your pages
7. It makes it easier for you to perform repetitive tasks
8. It is a fully functioned desktop publishing program
9. It is time-saving.
10. It is dynamic in nature for exchanging the data (the definition of dynamic is constant change or motion)
11. It produces error-free documents.
12. Provide security to our documents.

DISADVANTAGES

1. Word processors cannot be used without electricity.


2. Word processors Use is Expensive due to the cost of computers.
3. They have led to the Unemployment of typists because one person using a word processor can do a lot of work
in a short time, which would be done by many using typewriters.
4. Many people are computer illiterate, and cannot use the program. (Not able to use computers well, or not
understanding basic things about computers)
5. Computer have viruses, which lead to loss of data in soft copies.

ORGANIZING YOUR DOCUMENT

 An organized filing system can keep important documents safe because, if they're stored away in a specific
place, then you're less likely to lose or misplace a document.
 Your document is effectively divided into sections when headers are used and the appropriate styles are applied.
 Headings can also help our readers understand the structure of the article. (Heading is a main title, and a
subheading is the text below that adds information about the headline; organize content to guide readers)

Navigation pane - To go to a page or a heading in a Word document without scrolling

Browse by headings

If you’ve applied heading styles to the headings in the body of your document, those headings appear in the Navigation
pane. The Navigation pane doesn’t display headings that are in tables, text boxes, or headers or footers.

Tip: To show or hide the subheadings under a heading, click the arrow next to the heading.

Browse by page

When you do scroll through your document, Word highlights the page you’re on in the Navigation pane to show you
where you are.

Reorganize your document

You can move parts of your document around by moving them in the Navigation pane. You can also change the level of
headings, and you can add new headings.

Note: If a document contains regions that are protected, you might be unable to drag a section beyond the last
protected region.
