SAP Easy-guide PM1

Create Notification
Overview – The identify work process is concerned with the identification and requesting of maintenance work. When
maintenance work has been identified, a notification needs to be created in SAP to record the details. All notifications
are created via the technical object display.
Prerequisites – To create a notification you must be familiar with the functional location hierarchy for the site you are
working at. A functional location hierarchy is the plant as maintenance sees it.
Note: If functional location is known, use transaction IW21 for direct entry.

Create a New Notification

Step Instruction Note


From the Master data menu, select Structure. The Functional Location 1. Complete the following field:
1 Structure: Selection screen is displayed. Functional Location – Type
number if known eg. P1-4-86-01,
or type part of the functional
location search for required
functional location.
2. In the Explosion section, select
checkboxes as shown above.
3. Complete the following fields in
the Parameters (for BOM
explosion) section:
 Plant – Type or select the
required plant. eg. 1000.
 Only PM assemblies – Select
this checkbox.
 Only PM-rel.items – Select
this checkbox.
4. On the top toolbar, click
(execute) to display the structure

to locate the required functional

7. With required notification

M1-Maintenance Request select: Goto > Create notification
M2-Malfunction Report > and select required notification
M3-Activity Report
M4-Master Data Update type. In this example General is
selected.

8. Complete the following fields:


4 9. Notification – Type a description
of the problem being reported.
10. Coding – Select the relevant code
for the type of problem.
11. Planner group – Select the
relevant planner group
responsible for the work.
12. Reported by – Type the person
who has reported the
requirement of the activity.
13. In the Start/End Dates section
complete the following:
14. Priority – Type or select a Priority
or enter the Required Start date.
15. Breakdown – Select this
checkbox if the machine has
completely stopped operating.
Notification should be created as
an M2 type in this instance.
16. Click to save the notification.
The notification is sent to the
Planner for approval.
