EXECUTIVE SUMMARY
THE SECRET TO JAPANESE BUSSINES

Problem that usually encounter at the workplace is such as high absenteeism,


high turnover, demotivated employees, disordered / cluttered environment, mistakes /
errors. This promblems would affect the productivity and the eficient of work
especially in the housekeeping where the teamwork need to be done to achieve the
goal. In order to achieve high levels of quality, safety and productivity, workers must
have a conducive working environment. In any circumstances, enviroment have the
role to create employee to work more productive and eficient the key is to make the
working environment to comfy and helathy also.
Thirty years ago researches started studying the secret of success of Japanese
manufacturing companies, the factories were so well organized that abnormal
situations were readily apparent, equipment were so clean and well maintained that
any problem such as a loose bolt or leaking oil could be easily seen. This passion of
cleanlinees and orderliness became a hallmark of Japanese organizations. Turn out the
key of their succsess is 5s. This 5S stand for :
1. Seiri (Organization/Sort out)
This means that try to sort out the important and unimportant things in
the workplace and remove the unimportant clutter. The employee has
to decide what they need and not. We can do this by using the red tag
technique. The technique itself need the help of the employee to sort
the every important things in the workplace and give the red tag to the
unimportant one. The unimportant things would place at the store. For
weavering items, the employee can give the red tag and place it at the
store for one week and allow the staff to reevaluate the needed items
but at the end of the week, those who need items should be returned.
We can organize the items by it priority, frequency of use, how to use,
low, less than one year, once per year, throw away, store away from
workplace, average, once per month, once per week, store together but
offline, high, once per day, locate at the workplace.
2. Seiton (Orderlines/Systemize)
Once you have eleminated all the uneeded items we can turn to the
leftover items. By that we can make workplace checkpoints within this
question :
 Positions of aisle and storage places clearly marked?
 Tools classified and stored by frequencey of use?
 Pallets stacked correctly?
 Safety equipments easily accesible?
 Floors in good condition?
Before we have to anwering this question, we haveto makesure some
other things like the design of the location, use the tapes and labels on
every items, and ensure everything is available as it is needed and at
the ‘point of use’.
3. Seiso (Clean/Shine)
We have to create spotless workplace by always make it clean and tidy.
We have to pay attention to cleaning technique such as sweep, dust,
polish and paint to identify and eliminate causes of dirt and grime
remove the need to clean. By this point cleanlines in workplace need to
be done. Focusing the need to be clean as priority and the individual
that do the cleaning must be expert in the use of the tools and
equiments. Areas that need to be clean need to be divine to create
maximize the cleaning.
4. Seiketsu (Standarise)
Generate a maintenance system for the first three things that has been
mentioned. Creating schedule, procedures and practice need to be done
and the challenge for the 3 step that has been mentioned is to keep it
clean. Regularly to audit using checklist and measures of housekeeping
and dont forget to continues assess the use and disposal of items.
5. Shitsuke (Sustain/Discipline)
This means to inoculate courtesy and good habits. This 4 step that has
been mentioned need the consistent and driving force behind all 5S.
Make it a way of your life so you can achieve succsess. This was part
of the health and safety in the workplace.
The advantages of the 5S is to :
 Increasing workstation efficiency as a fundamental goal in mass
production.
 Clean and tidy workplace leads to greater well being and inccreased
motivation.
 Company image improves.
 Health and safety is ensured.
 Machine maintenance.
 Quality and productivity.
 Lean manufacturing.
 Place is easier to manage.
 Smooth workingplace without obstruction.
 No devitation and no problems because everyone knows where the
things are supposed to be.
 Time saving.
 Quick retrieval.
 Minimized the accident and mistakes.
 Increases space
 Creates workplace ownership
 Improve the visual management system or visual control to see the
abnormalities.
Lean Production
Based on Toyota Production System they using the Waste Elimination. Waste
elimination its the elimination of waste everywhere while adding the customer value.
Its a mindset and commitment to achieve a totally waste free operation that focused
on your customer succsess. We can achieved it by simplifying and contionusly
improving all the process.
From the operation prespective it cuts and inventories rapidly to free cash,
which is crictical. It also supports growth by improving productivity and quality,
reducing lead times, freeing huge amount of resources. For example, lean production
frees offices and plant space and increase capacity so companies can add product
lines, in source component production, and increase output of existing product
without acquiring new facilities.
What we can achieve when we success doing the 5S :
 Neat and clean workplace.
 Smoot working.
 No obstruction.
 Safety increases.
 Productivity improves.
 Quality improves.
 Wastage decrease.
 Machine maintenance.
 Visual control system.
 Employee motivated.
 Workstation become spacious.
Applying th 5S to Housekeeping Department in the hotel would help all of the
employee have more attention to every equipments or tools that they usually use and
need. It also help to decrease the number of the broken equipment when they can
organize and create more space to their equipment.
