SOP Computer Lab

1. GeneraI. Computer lab plays a very significant role in our educational system. Students of all classes are given practical hand in this lab. Computer lab is fully equipped with the latest computers and connected via LAN (Local Area Network). This policy is being formulated to streamline various procedures / duty to facilitate school administration in efficient handling/maintenance of computers with related accessories.
2. Aim. To lay down policy/procedures for smooth and efficient functioning of Computer Lab incorporating all necessary issues. 3. Org a. Vice Principal b. Computer nstructor
4. ResponsibiIities a. Vice PrincipaI. Over all supervision of all computers related issues. (1) Supervise / over view the computer lab. (2) Process computer repair work request to Head Office. (3) Ensure efficient utilization of computer lab. (4) Ensure Computer education is up to the mark. (5) Smooth functionality of computer lab. b. Computer Instructor. Responsible for supervision of Computer Lab including teaching, technical and maintenance issues of computers along with its accessories and LAN besides following: - (1) TechnicaI (a) Maintenance of LAN sys. (b) Regular maintenance of server and terminal stations. (c) Resolve NW/ software related issues in routine functioning. (d) Protection from virus. (e) Periodic maintenance of photocopying machine. (f) Ensure data security against internet vulnerabilities. 2
(2) Teaching (a) Teach students on computer subject. (b) Help students in practical handwork of computers. (c) Available in lab at least 15 minute prior to check that servers and all terminals are in working condition. (d) Solve the queries raised by the students. (3) MisceIIaneous (a) Open the lab in morning with start of first period. (b) Close the lab on departure at end of last period. (c) n case of opening lab after school timings, an oral / written permission should be taken from vice principal. (d) Compose first term and annual exam papers. (e) Supervise downloading of roll numbers slips and result cards of board classes (A clerk will be provided for this job) (f) Supervise result composing of first term and annual term (A clerk will be provided for this job) (4) Virus Protection. Latest antivirus will be installed on all computers and its weekly updates will be made available on server and terminals by computer instructor. (5) Computers-Safe Custody (a) A list of duties is attached as Annexure 'A'
5. Repair & Maintenance of Hardware a. Computer instructor will ensure that all hardware related to computer/ LAN is working properly. b. Request of repair to be immediately processed to head office on occurrence c. State of computer is attached as per Annexure 'B'. d. The repair of computers and allied accessories will only be carried out through authorize / trusted vendors.

Annexure - A SOP - Computers Safe Custody 1. GeneraI. Computer lab is equipped with latest computers provided by head office. The safe custody and care of these computers is prime responsibility of the school. An unwanted/accidental loss is primarily caused by problems in electrical sup, viruses and physical theft of computer accessories (CD Room, Hard Drive or floppy diskette etc). Therefore there is a need to ex vigilance and impose strict con over the use of computer to safe gd against any loss/theft. 2. Aim. To regulate the use of computers within computer lab and dealing with computer handling issues. 3. To make lab fully functional all the time, each issue is addressed in succeeding paras. Necessary precaution/remedial measures are as under: - a. EIectricaI Power (1) VoItage FIuctuation. nput AC power voltage should be within 20% variation of 220V, if the input to the computer is through Stablizer. f the power is given to computer direct from the outlet, the voltage variation should not exceed 5%. (2) High / Low VoItages. On observation of voltage increase / decrease, turn off computer and all peripherals immediately. Do not use computer on generator power. f line power is not available, use UPS between the generator and computer. (3) Connections & Earth. Check all input and output connections. Check plugs regularly for loose contacts or incorrect connection. f plugs are removed or replaced, extra care should be taken that live wires are not accidentally connected to earth pin. All wiring should be properly earthed. 4
(4) Connecting / Disconnecting PeripheraIs. Shut down power of all components before inserting or removing peripheral device cables such as modem, monitor, keyboard, mouse or printer, interface. b. EnvironnementaI Conditions (1) Temprature & Humidity. Do not op computer if room temperature exceeds recommended temperature range of 10 degree Centigrade, to +45 degree Centigrade. Do not op computer if humidity level exceeds 80%. (2) Dusty Environment. Protect computer form dust by covering it with dust cover or plastic/cloth when not is use. Keep drive door closed. Clean all exterior parts with clean cloth regularly. Do not use woolen carpet in computer room. (3) Loc SeIection. Place computer on a firm desk or table. The room should be clean and airy. Do not place computer in dir sunlight. c. Software Ops (1) Changing Configurations. Do not change the configuration of the computer or modem unless absolutely necessary and only under supervision. f configuration is accidentally disturbed, revert back to "factory default configuration. (2) Changing FiIes. Do not tamper with configuration and set-up files specially CONFG, BATCH and Windows N Files. (3) Hardware Setup. Do not change "Hardware Setup. Keep a written record of all settings to re-enter if there are any accidental changes. Do not make any change in Windows Con Panel. (4) Hard Disk CIeanup. Remove unnecessary program and data form hard disk periodically to make disk space. But take care that no necessary driver or program files are deleted. 5
d. System Shut-down. Shut down the computer properly using the "Start/Shut- buttons of windows. Disconnect power only after message allowing shut-down appears on screen. 5. PhysicaI Security. Physically Security tech will be used to any theft attempt. Access control mechanisms will be designed and implemented including keeping computers lab under lock and key. To implement physical security of computers lab, following procedure will be adhered to: - a. Computer lab will be locked / unlocked only by computer instructor. b. n case of computer instructor's leave, another instructor will be nominated by vice principal for opening/ closing of lab. c. No computer or its accessories to be taken out of school without prior permission by vice principal. 6. Preventive Measures. Besides adhering to the instructions on the subject, issued from time to time, following additional measures shall be implemented forthwith: - a. A weekly check will be made by computer instructor to over view any unnecessary program installed by any unauthorized user (students). b. n case of any finding of above mentioned program, such program will be un- installed. c. A program will be properly un-installed (No program to be deleted directly). d. Monthly checking and erasing of un-necessary files will be done by the computer instructor. e. Use of licensed softwares, anti viruses and firewalls will be practiced to have reliable protection. f. Regular virus scans of all CD/ floppy disc/ flash drive/ any other storage device.
