Excel Interview

Questions
Ankita Das

1. What is the difference between XLOOKUP and

VLOOKUP in excel?

i. XLOOKUP can look for values to the left and right

of the lookup array.
VLOOKUP is limited to only looking for values to
the right of the lookup value column.

ii. XLOOKUP allows you to customize text when a

valid match is not found.
While VLOOKUP only shows you an #N/A (error
sign).
Ankita Das

iii. In VLOOKUP, the length of the lookup criteria

cannot exceed 255 characters.
But XLOOKUP imposes no limit on the lookup
value’s size. So, if your dataset contains really long
strings, XLOOKUP is the solution to avoid errors.

iv. XLOOKUP is better at handling errors or missing

values. You can decide what it should show if it can't
find the requested value.
Which VLOOKUP doesn't allow.

v. XLOOKUP is faster and more efficient because it

looks only where it needs to.
VLOOKUP takes time and resources to scan the
entire table

2. What is the importance and usage of pivot tables in

Excel?

A Pivot Table is an interactive way to summarize

large amounts of data quickly. You can use a Pivot
Table to analyze numerical data in detail and answer
unanticipated questions about your data.

A pivot table helps the user to expand, isolate, sum,

and group particular data in real-time. The pivot
table consists of columns, rows, pages, and data
fields. It can help you in the efficient analysis of large
data and conclude the data being shown by pivot
tables.

3. What is Data Validation in Excel?

Ensures that data entered into spreadsheets meets the

predefined criteria, reducing the chances of errors. It
Reduces the need for manual checks and corrections
of data entries.

Validation text lets you provide a message to help

users who input data that is not valid.

4. Difference between function and formula in excel.

A Formula is an equation designed by a user in

Excel. ex: =A1+A2+A3 is a formula.

while a Function is a predefined calculation in the

spreadsheet application. ex: SUM(A1:13)

5. Difference between A RELATIVE and an

ABSOLUTE reference in a formula?

There are two types of cell references: relative and

absolute.
Relative and absolute references behave differently
when copied and filled into other cells.

Relative references change when a formula is copied

to another cell.

Absolute references, on the other hand, remain

constant no matter where they are copied.

6. What is VLOOKUP?

The "V" in VLOOKUP stands for "Vertical,"

indicating that it searches vertically (downward) in a
table.
VLOOKUP is a powerful function in Excel that
searches for a value in the first column of a range
(table or array) and returns a corresponding value in
the same row from a specified column.

7. What are some common functions used in Excel for

data manipulation?

Commonly used Excel formals are SUM,

AVERAGE, MAX, MIN, COUNT, IF, VLOOKUP,
and INDEX-MATCH. They can manipulate and
summarize data, perform calculations, and make
decisions based on specific criteria.

8. Explain what is Conditional Formatting?

Conditional Formatting in Excel enables you to the

cells with certain color depending on the condition. It
is an excellent way to visualize data in a spreadsheet.
You can also create rules with your own custom
formulas.

9. When would you use INDEX-MATCH instead of

VLOOKUP?

i. VLOOKUP is limited to only looking for values to

the right of the lookup value column.
INDEX MATCH can do left lookup with ease.

ii. VLOOKUP formulas get broken or delivers

incorrect results when a new column is deleted from
or added to a lookup table because it's syntax
requires specifying the index number of the column
you want to pull the data from.
Ankita Das

With INDEX MATCH, you specify the return

column range, not an index number. As a result, you
are free to insert and remove as many columns as you
want without worrying about updating every
associated formula.

iii. When using the VLOOKUP function, the total

length of your lookup criteria cannot exceed 255
characters, otherwise, you will end up having the
#VALUE! error.
if your dataset contains long strings, INDEX
MATCH is the only working solution.
Ankita Das

10. What is the difference between VLOOKUP,

XLOOKUP, and INDEX-MATCH?

VLOOKUP is a static measure, while INDEX -

MATCH and XLOOKUP are dynamic. That means
if something changes in the source table, dynamic
measures adapt and either show an error or the
correct value you are looking for. But since
VLOOKUP is static, it may show you a wrong value
without warning.
