Introduction to Information Technology
LET’S BEGIN
Essays, reports, letters, flyers--- doing all these is a breeze in Word or in any word processor. But how
about the weekly budget, listing of names, class records, score sheets, financial statements, vouchers,
demand projections, or anything that calls for data processing or requires calculations? A word
processor might also do the job, but it is not the suitable software for these types of tasks. From here,
we will tell you why!
When it comes to performing basic to complex calculations, MS Excel is the go-to application. Satya
Nadella, Microsoft’s CEO, cannot imagine a world without MS Excel, proclaiming it as Microsoft’s most
important consumer product (Cocking, 2017). In one way or another, you will get a chance to use the
spreadsheet program maybe in your personal or professional life. The activities this week aim to
improve your skills in the use of MS Excel.
You are expected to complete three (3) practice sets and submit six (6) laboratory exercises as part of
your course requirements.
MS Excel
MS Excel is a spreadsheet program that enables users to organize data, perform basic and complex
mathematical calculations, create charts and graphs, analyze data, and produce reports. The four
major parts of MS Excel as described by Shelly et al. (2008, p. 2) are as follows:
● Workbooks and Worksheets – A workbook is a collection of worksheets. Whereas, a worksheet
is a collection of cells organized in rows and columns that allows users to input, calculate,
manipulate, and analyze data.
● Charts – A chart is a graphical representation of data, and MS Excel can produce a range of
chart formats such as bar, pie, column, line, area, radar, etc.

MS Excel has over 475 formulas, ranging from the simple arithmetic operations to complex statistical
and logical functions. Here are some of the most popular formulas that you need to know:
● =SUM to add numbers
● =TODAY() to display current month, day, and year
● =NOW() to display current month, day, year, and time of the day
● =RAND() to generate a random number between 0 and 1
● =COUNT() to count the number of values in a range of cells
● =AVERAGE() to get the average of numbers in a range of cells
● =MAX() to display the highest value in a range of cells
● =MIN() to display the smallest value in a range of cells
You might think that MS Excel is a little bit difficult to learn especially if you don’t like numbers. But it
is actually fairly easy to use. The learning resources available here will provide you with step-by-step
procedures on how to use this spreadsheet program.

We will be using the book, Beginning Excel by Noreen Brown, Barbara Lave, Julie Romey, Mary Schatz,
and Diane Shingledecker, as our primary learning resource. As you read this book, learn by heart the
Skill Refresher, Keyboard Shortcuts, and Key Takeaways presented. Moreover, some topics may not
be included in the book; thus, other learning resources are provided. Links to YouTube video tutorials
are also made available to enhance your learning experience.

SUMMARY
For this week, you have learned how to use a spreadsheet software, MS Excel. You have experienced
creating worksheets with formulas and functions such as SUM, AVERAGE, MAX, MIN, IF function, and
LOOKUP function. You were also taught how to present and organize data using a chart or graph.
Likewise, you have come to know how to use a PivotTable for summarizing and analyzing data.
DIG DEEPER
To further develop your skills, you can continue with the rest of the chapters (Chapters 5 and 6, pp.
267 – 329) of the book, Beginning Excel. All the data files needed for the practice sets are available on
our LMS. Moreover, learn how worksheets are printed by reading all topics on “Preparing to Print.”
Try to print a worksheet if you have access to a printer.
